West Michigan Partnership for Children (WMPC) administers foster care services to children and families in Kent County, MI in partnership with Bethany Christian Services, Catholic Charities West Michigan, D.A. Blodgett—St. John’s, Samaritas, and Wellspring Lutheran Services. WMPC executes an innovative performance-based funding model through a contract with the Michigan Department of Health and Human Services (MDHHS), utilizing a capitated allocation payment mechanism that allows for savings generated from practice and program improvements to be reinvested into the foster care system. WMPC utilizes software that allows for predictive analytics to inform strategy and practice, and to flag cases that are at risk for further review. POSITION SUMMARY
The Executive Assistant provides administrative and project management support to the CEO and other leaders to help achieve the overall goals of WMPC and leadership. They attend to day-to-day functions that are part of the executive’s role so they can focus on leadership and strategic functions. They interface with a wide range of stakeholders and assist in the implementation of projects and priorities on behalf of the CEO. This individual also ensures that the administrative activities within WMPC run efficiently and relieves the Executive Leadership Team from administrative tasks.
HOW YOU WILL SPEND YOUR DAY
• Manage scheduling of appointments and meetings for the CEO.
• Prepare meeting materials and any other reports and correspondence as needed.
• Monitor the CEO calendar to prepare materials for meetings; ensure that agendas are created, and that invitations and reminders are sent out in a timely fashion.
• Coordinate training activities based upon staff and agency needs.
• Coordinate any travel arrangements.
• Maintain various records and documents for leaders.
• Oversee projects as assigned by the CEO including logistical management and administrative support for special events, retreats, anniversary celebrations, etc.
• Oversee office administrative tasks and responsibilities.
• Complete expense reports and submit to the accounting department as needed.
• Participate in meetings such as committees or other special projects on behalf of the CEO.
• Create and format reports, presentations, communications, and meeting notes.
• Manage the administrative aspects of relationships with outside vendors and stakeholders.
• Serve as the Point of Contact with IT services; manages the WMPC SharePoint site, including creating new users, and developing agency policies and procedures for document organization and management.
• Responsible for web site maintenance, in collaboration with WMPC’s contracted web site developer.
• Assist with onboarding tasks for new team members both directly and within our HR system, WorkforceGo.
• Participate in all team meetings.
WHAT WE NEED FROM YOU
Associate’s or bachelor’s degree in Social Work or Business Administration degree preferred. Minimum of three years of experience working for a Senior Leader and providing administrative support in professional settings. Experience in Social Work, Administration, Business, Project Management, and/or Event Planning environments a plus.

• Interpersonal skills necessary to interact with a diverse group of individuals and stakeholders
• Proficient with Microsoft Office programs and web-based applications
• Ability to read, write, and communicate effectively in English. Ability to effectively proofread documents prepared for meetings and distribution.
